Policy on the Handling of Personal Information

Our company complies with laws and regulations, as well as other norms related to the protection of personal information of our customers, business partners, employees, and related parties, which we use in the course of our business operations. We strive for proper management and protection of personal information.
  1. Our company will lawfully and fairly obtain, use, and provide personal information, and will not handle personal information beyond the scope necessary to achieve the specified purposes of use. We will also take measures to prevent the use of personal information for unintended purposes.
  2. Our company will comply with laws, government guidelines, and other standards related to the handling of personal information, and will handle personal information appropriately.
  3. For the safe management of personal information (prevention of leakage, loss, or damage), we will establish a company-wide promotion system for personal information protection, conduct information security training, implement physical safety measures for equipment, and technical security measures for systems to ensure overall safety management. In addition, in our promotion system for personal information protection, we will take corrective actions for any nonconformities to ensure appropriate protection of personal information.

For complaints and inquiries from individuals, we have established a dedicated consultation office and have disclosed procedures for contact, reception, and applications through our website and various media. We ensure prompt and appropriate responses. Records of such responses and results will be kept and used for ongoing improvements.

    1. Providing personal information is voluntary; however, please note that if required fields for applications or inquiries are left blank, or if the information provided is inaccurate, we may not be able to process your request.
    2. When we directly receive personal information, we are under no obligation to return the information regardless of the medium provided.
  4. Provision of Personal Information to Third Parties
    Personal information we handle will not be provided to third parties except in the following cases:
    1. When prior notice is given, and consent is obtained from the individual
    2. When required by law or regulations
  5. Outsourcing of Personal Information
    We may entrust personal information to external service providers to the extent necessary to achieve the purposes outlined in Section 2 above. These service providers are carefully selected to meet our company’s standards for personal information protection, and we enter into contracts requiring proper handling and management before outsourcing.

  7. Matters Related to Safety Management Measures
    We take necessary and appropriate safety management measures to prevent leaks, loss, or damage of personal data and to ensure its proper handling. We also supervise employees and contractors (including subcontractors) as needed to maintain proper security. The details of our safety management measures for personal data are specified in internal regulations, with the main points summarized below. For information on outsourcing the handling of personal information to foreign entities, please refer to section 8.

    2. Establishment of rules specifying procedures and responsibilities for obtaining, using, storing, providing, deleting, and disposing of personal data

    4. Human safety measures, such as including confidentiality obligations in work regulations and providing training on handling personal data

  8. Entrusting the Handling of Personal Information Overseas
    Within the scope necessary to achieve the purposes outlined in Section 2, we may entrust the handling of personal information to our group company, VIETNAM CAMCOM CO., Ltd., located in the Socialist Republic of Vietnam (“Vietnam”), hereinafter referred to as the “Overseas Contractor.” The measures we take when entrusting personal information to the Overseas Contractor are as follows:
    1. Method of Providing Personal Information to the Overseas Contractor
      Personal information is provided under a formal outsourcing contract between our company and the Overseas Contractor.
    2. Measures Implemented by the Overseas Contractor
      The outsourcing contract specifies that the Overseas Contractor shall handle personal data only within the scope of the entrusted services, implement necessary and appropriate safety management measures, and appropriately supervise its employees handling the personal data.

    4. Frequency and Method of Confirmation
      Once a year, we confirm the measures implemented by the Overseas Contractor as described in item (2) by obtaining a written report.
    5. Suspension of Personal Information Provision
      If we determine that the Overseas Contractor is handling personal information in violation of the outsourcing contract (including the measures in item (2)), and the situation is not corrected within a reasonable period despite our request, we will suspend the provision of personal information to the Overseas Contractor.
  9. Procedures for Requests to Disclose Personal Information
    For any retained personal data, if the individual wishes to request notification of the purpose of use, disclosure, correction, addition or deletion of content, suspension of use, erasure, suspension of provision to third parties, or disclosure of records of provision to third parties (hereinafter referred to as "Requests for Disclosure, etc."), the procedure will be as follows.

    2. Required documents and submission address for a disclosure request
      Please mail the following required documents to the address of the "Personal Information Inquiry Desk."

      2. Identification documents for verification. If the request is made by a representative, please also include a power of attorney and other documents as specified in the Disclosure Request Form.
    3. Regarding identity verification
      Upon receipt of the Personal Information Disclosure Request Form, we will verify your identity based on the specific personal information held by our company.
    4. Fees for notification of the purpose of use and disclosure of personal information
      A fee will only be charged for notification of the purpose of use or for disclosure of personal information (including disclosure of records of provision to third parties), as outlined below:
      1. 2,000 yen (tax included) per request.
      2. Please enclose postage stamps worth 2,000 yen (e.g., twenty 100-yen stamps; the combination of denominations does not matter) with your submission documents.
      3. If the enclosed postage stamps are missing or insufficient, we will contact the requester. However, if payment is not made within the specified period, the request will be considered withdrawn.
    5. Method of responding to requests for disclosure, etc.
      1. We will respond using the method you selected on the disclosure request form.
    6. Handling of personal information obtained during a request for disclosure, etc.
      The handling will follow our company’s personal information policy. Please note that submitted disclosure request forms and attached documents will not be returned.
    7. The following information is not subject to disclosure, etc., and we may not respond to such requests:
      1. Information that may harm the life, body, property, or other rights and interests of the individual or a third party
      2. Information that may promote or induce illegal or unjust acts
      3. Information that may hinder crime prevention, suppression, investigation, or other public safety and order maintenance
      4. Information that may significantly interfere with the proper execution of our company’s operations
      5. Information related to personnel evaluations, performance assessments, or selections
      6. Personal information handled in outsourced operations for which we do not have the authority to disclose

    Our website uses cookies to provide customized services to each user. These tools may collect necessary system information when you view our pages, data to confirm user identity, browsing history (such as accessed pages or viewed content), device information, and location data. While this information does not directly identify individuals, it may be matched with information we hold to identify you and used within the scope of the purposes stated in section 2 above.
